[en] Managing workflow access in Sales Portal Message Center

[en] You can temporarily disable access to your user-initiated and admin-initiated workflows in Sales Portal Message Center. This is useful for maintaining the integrity of your workflow process when data is in flux, such as when data is refreshed or loaded into the tables powering your workflows.

[en] When access to a workflow is disabled, your payees will not be able to click into the workflow from the Message Center; however, the workflow itself is still active.

[en] You can manage workflow access in Message Center in two ways:

  • [en] From the Workflows module - Enable or disable access to workflows directly from the Workflows module.

  • [en] From the Scheduler module - Schedule a task to enable or disable access. Using this method, you can manage access for workflows in bulk and automate the process of disabling and enabling workflows by scheduling a disable task before your import tasks and an enable task after your data processing tasks are complete.

[en] Disabling access to workflows from the Workflows module

[en] You can disable access to a specific workflow from the Workflows module. This blocks payees from accessing the workflow in Sales Portal Message Center until access is re-enabled.

  1. [en] From the Workflows module, click the More options menu (...) on the user- or admin-initiated workflow where you want to disable access.

  2. [en] Click Disable access in Message Center.

  3. [en] On the confirmation dialog, click Disable access.

    [en] The Message Center status changes to Access disabled , and a Message Center access disabled tag appears when you click into the workflow. Payees will no longer be able to access the workflow from the Message Center in Sales Portal, but the workflow remains active.

[en] Enabling access to workflows from the Workflows module

[en] You can enable access to a specific workflow from the Workflows module. This allows payees to access and action on the workflow within Sales Portal Message Center.

  1. [en] From the Workflows module, click the More options menu (...) on the user- or admin-initiated workflow where you want to enable access.

  2. [en] Click Enable access in Message Center.

  3. [en] On the confirmation dialog, click Enable access.

    [en] The Message Center status changes to Access enabled. Payees can access and perform actions on the workflow from the Message Center in Sales Portal.

[en] Disabling access to workflows from the Scheduler module

[en] Instead of manually disabling access for each workflow, you can automate the process by scheduling a task. In the Scheduler module, schedule a task to disable access to specific workflows or all workflows. You can add this task to your schedule to disable access before data processing tasks, like imports, start. This way, your payees will be unable to access the workflow in Sales Portal while data is in flux. This protects the integrity of your workflow process.

  1. [en] From the Scheduler module, click the schedule where you want to add your task to disable workflow access.

  2. [en] Click Add task.

  3. [en] Select Manage workflow access as the task type.

  4. [en] Select Disable access in Message Center as the action.

  5. [en] Select which workflows to disable:

    • [en] To disable access for selected workflows - click Some workflows and then select the workflows where you want to disable access from the drop-down.

    • [en] To disable access for all workflows - click All workflows.

    [en] You can select any user-initiated or admin-initiated workflow, whether it is running or not. This lets you set up your schedules and manage workflow access in advance. Selecting All workflows will apply the task to all workflows, even those that are not yet running. Keep in mind that only running workflows are visible in Sales Portal.

  6. [en] If needed, toggle on Add run and set a frequency to run the task automatically.

  7. [en] Click Save.

  8. [en] If needed, drag your task to reorder it in the schedule.

  9. [en] Run your task:

    • [en] To run the individual task - find your Manage workflow access - Disable access in Message Center task in the schedule and click the Run task icon Run icon.

    • [en] To run the full schedule - click Run schedule.

    [en] After the task runs, payees will be unable to access the selected workflows from the Message Center in Sales Portal, but the workflows remain active.

[en] Enabling access to workflows from the Scheduler module

[en] Instead of manually enabling access for each workflow, you can automate the process by scheduling a task. In the Scheduler module, schedule a task to re-enable access to specific or all workflows. Add this task to your schedule after data processing tasks, like imports, complete. This way, your payees will be able to access the workflow in Sales Portal once the data is updated.
