Approving an agreement in Sales Portal
The plan documents approvals workflow is housed within the Message Center in Sales Portal.
Payees can view the following information for a plan document for which they are the recipient, are the manager of the recipient, or have an outstanding action for:
Name of the payee(s) who have sent their agreement for approval
Date on which the agreement was sent
Status of payee sign-off:
Awaiting response: Payee's manager has not approved the agreement yet.
Pending: The agreement has been released to the payee, but the payee hasn't signed-off yet.
Signed: Payee has approved and signed the agreement.
Preview of the agreement: Payees can view the agreement even if they are not assigned to the agreement.
Download a PDF copy of the agreement in its current state
Review and approve agreement: Payees and managers can approve the agreement if they are assigned to the document.
Perform actions as set up in the plan document route
Sign the agreement
Payees can filter the list of agreements page to show only agreements which have an action belonging to them. Enable Show my actionable items toggle to view the agreements which have not been reviewed by the manager or payee for approvals.
To approve an agreement:
Login to Sales Portal, and click on the mail
icon from the top panel.
Click Plan Documents from the left panel.
Click Review and approve of a payee whose agreement you wish to review and sign-off.
Review the payee's agreement, and click Sign document.
From the top navigation panel of the agreement, click on the link
icon to add additional documents to your agreement. To check the routing history and see which noes have completed their actions, click on the history
icon.
Note
A blank page follows the agreement, ensuring that signatures have their dedicated space on a separate page.
Click Sign to confirm your signature on the agreement.
Note
If the plan document is of Manager-payee type or is custom built to require a reporting manager's approval before the payee, then the manager's signature will appear above the payee's signature.
Click Submit Signature to submit your signature on the agreement.
Follow these steps if the Sign node is followed by an Action node:
Note
In a Plan document owned by both the payee and their direct manager, only these two individuals will consistently have access to view their agreement in Sales Portal. Others can access the agreement based on their swimlane and whether they have an action to take.
Click Start action if you have a pending action to complete.
Click Take action on the same agreement.
Select an action from the top navigation panel of the agreement, and click Start action.
Once all actions are complete, click on View Document to view the signed agreement.
In a route requiring a supervisor approval after the manager and before the payee, once the supervisor signs, the agreement disappears from their Sales Portal.
Downloading an approved agreeemnt
You can download an approved agreement as PDF once it's signed-off by the payee.
Login to Sales Portal, and click on the mail
icon from the top panel.
Click Plan Documents from the left panel.
Click on the more options icon
of a payee whose plan document you wish to download.
Click Download document.
