Tasks rules
In Varicent Incentives, the rules created in the Tasks module are used to determine the actions that you want to perform on specified groups of payees.
The payee groups that are added or removed are defined on the Groups tab of the Tasks module.
Several rule options are available, such as:

Payee Groups | Add payees to a payee group | Add payees in a defined group to a specified payee group. The start date for the added payees is the first day of the fiscal year. Example: Add all payees with job title "Inside Sales Rep" to Inside Sales Rep payee group. Payee start date is the first day of the fiscal year. |
Payee Groups | Add payees to a payee group as of today | Add a defined group of payees to a payee group with today's date as their start date. Example: Add all payees with job title "Inside Sales Rep" to Inside Sales Rep payee group. Payee start date is the day that the task is run. |
Payee Groups | Remove payees from a payee group | Remove payees in a defined group from a specified payee group. Example: Remove all terminated payees from a specified payee group. |
Payee Groups | Set end dates for payees in a payee group | Set end dates for a group of payees for anywhere from today to 180 days from today. Example: Set end dates for all terminated payees. |
Portal Access | Add payees to a Portal Access group | Add a group of payees in a defined group to a Portal Access group. Example: Add all "Account Executives" to the Account Executive Portal Access group. |
Portal Access | Enable a group of payees for web and notify them of their passwords. | Grant web access to specified payees. Random passwords are generated and emailed to the address in the Payee table. You can run this task without sending the password notification (see: Disabling web user enablement emails). ImportantThis rule does not add payees to a Portal Access group; you need to perform this task separately. |
Portal Access | Maintain payees in a Portal Access group | Adds and removes payees from the group in Portal Access. ImportantThis rule is created by default for Portal Access groups that users set up to be maintained in Tasks. |
Portal Access | Remove payees from a Portal Access group | Remove payees in a specified group from Portal Access. |
Adding Tasks rules
In Varicent Incentives, the rules created in the Tasks module can specify the actions that you want to perform on groups of payees.
In the Tasks module, on the Rules tab, click the Add Rule icon
.
Type a name for your rule and click Save.
Select the type of action for this rule to perform.
The fields displayed are specific to the rule that you select.
Select the group, payees, or dates and click Next.
Select the roles that you want to email.
If you do not want to enable email notification for a rule, select Done without selecting any roles.
Important
Email notification can be sent to administrators when a task is generated by the Tasks module. Email notification is defined individually for each rule and is sent to all users who are assigned to the selected user role. The user role is defined in the Manage Roles window.
Adding a web enablement task
In Varicent Incentives, you can add a task to enable users for web access.
In the Tasks module, on the Rules tab, click the Add Rule icon
.
Type a name for your rule and click Save.
Select the
Portal Access - Enable payees in a group for web and notify them of their passwords
rule.Select the group that you want to enable and click Next.
Note
You can create the group in the Portal Access module. For more information, read: Adding Portal Access groups.
Select the roles that you want to enable and click Done.
In the Scheduler module, select a schedule or create a new one.
Click + Add task and under Task type, select

tasks in the Scheduler module, it will web enable any payees added to the Portal Access group from the previous steps.The final schedule should look like this:
Disabling web user enablement emails
By default, when you run the web enablement task through the Tasks module, all users receive a password reset email. But you can disable this email. If you use SSO to authenticate users, you likely want to disable these emails.
From the admin panel, click Settings
→ More options → General.
Under Email, clear the Payee enablement emails In Task Manager checkbox.
Click Save.
